All enterprises have a knowledge center composed of different departments: general manager office, finance department, sales, and marketing team, product development, manufacturing, quality management, etc.
 
The conventional way is to set up this knowledge center in a specific server, place it in the office corner, and call it the Intranet, a data center. It is installed managed by the IT department, and the IT guys will help everyone have different login privileges. Each department can exchange work documents by storing and fetching files from the designed space, just like using a drawer to place and find their socks every day. You must admit that using an old PC server to boost collaboration is way less valuable than gossip in the tearoom.
 
We always have trouble finding a particular file. Everybody understands that finding files in the company’s data center is like looking for a needle in a haystack. No one knows how to find a file of available content or text, and it is worse when you only have some subtle file name.
 
Searching for files takes time, more complicated than looking for a master’s thesis. The data center where employees share documents is a gathering place of junk files, not tag, no index, unknown version, hard be sorted by full-text search, most of them are sour and smelly and cannot be recycled, yet no one dares to throw them to a bin!
 
Those items of furniture that accumulate dust after a long time will be removed, but those old files kept for a company start-up will be saved forever, even the IT staff are afraid to delete them. Few people want a better solution when hard drive storage is so cheap to have bigger space easily. If your company keeps data for decades, of course, they are precious assets. Who knows someone will require it in the future?
 
Files with the same name are distributed in different directories in the data ocean. In addition to the file name, storage date, and file size, there is no other way to compare the differences in data content, which file is the initial one and the last edition. Then the company’s data center becomes Agent Smith of the Matrix by having the capability to replicate themselves. Anyone who dares to take the lead in deleting those files may later be sued as a file murderer.
 
If we take a closer look at the meaning of data by a magnifying glass, let us think about what kind of documents are essential to record and store to save the company someday? For example, in a shipwreck, the captain’s logbook would be the only important document passed down to the rescue or the public to know what happened then. On the other hand, sailors’ small notes taken near the boiler room may not be of no use at all.
 
But in a modern enterprise, it’s a different story. The flattening of the organization and the ease of access to many storage tools have made employees’ daily jobs a key source of work knowledge. The communication ins and outs, back and forth, between vendors and supervisors, are essential. We all know that backup letters are critical and will not be made as scapegoats when things go wrong in the future.
 
On the contrary, CEOs nowadays do not write corporate diaries. They all work with their mouths and think they have used their brains well. Anyone can explain success and failure afterward if the CEO still has power in the company. So, what they say now is absolutely correct always. You can imagine the articles people read about the CEO’s vision; many are hindsight written by paid writers.
